Terms and Conditions

Please take the time to read these terms and conditions carefully. They explain the agreement between you and us (owner, Longhouse Lodge), and set out what you can expect from your stay, as well as what we expect from you.

We strongly recommend that you take out comprehensive travel insurance to protect against cancellation, loss, or unexpected events during your stay. If you choose not to, you accept full responsibility for any associated costs or losses.

LONGHOUSE LODGE – TERMS AND CONDITIONS OF BOOKING

1. Booking Agreement

By making a booking and staying at Longhouse Lodge (“the Property”), the Lead Guest accepts these Terms and Conditions on behalf of all members of their party. It is the Lead Guest’s responsibility to ensure that all guests comply with these terms throughout their stay.

The Lead Guest must be at least 18 years of age at the time of booking and must remain a member of the party for the duration of the stay.

The maximum occupancy of Longhouse Lodge is 4 guests plus 2 infants (under 2 years of age) and up to 2 dogs. Occupancy limits must not be exceeded at any time without prior written agreement from the Owner.

It is the Lead Guest’s responsibility to ensure all guests treat the property and surrounding area with reasonable care. The property and surrounding area must be left in the condition found at the beginning of the stay.

We reserve the right to refuse entry, terminate the booking, or apply additional charges if occupancy limits are exceeded.

2. Check-In and Check-Out

Check-In

Check-in is available from 3:00pm onwards.

Our check-in times are flexible and we are available to assist guests between 3:00pm and 11:00pm on the day of arrival.

If you choose to arrive after 11:00pm, please note that we may not be contactable. Should you experience any difficulties accessing the Property or encounter issues after this time, assistance may not be immediately available. Please take this into consideration when planning your journey.

Check-Out

Guests must vacate the Property by 10:00am unless otherwise agreed in writing.

Additional charges may apply for unauthorised late departures.

3. Occupancy

Only the guests named on the booking may occupy the Property. We need to be made aware of any visitors during the day.

Up to four guests plus two infants and/or up to two dogs may occupy the property.

Additional overnight guests are not permitted.

We reserve the right to refuse entry or terminate a booking if occupancy limits are exceeded.

4. Parking and Vehicles

The Property includes parking for up to two vehicles. Please park on the gold gravel in front of the decked area. We ask you to leave the grey stoned driveway clear at all times, to enable access. The gates to the lane must be closed when not in use, to avoid risk of wandering livestock.  Please also note that the field, outbuildings and surrounding area are privately owned and not for use of guests.

Additional vehicles may be accommodated by prior arrangement at a further cost. Guests must notify us before arrival if they intend to bring more than two vehicles.

Guests must notify us of any large vehicles, trailers, caravans and campervans before arrival and may incur further charge.

We reserve the right to charge an additional fee for undeclared vehicles.

Vehicles are parked entirely at the owner’s risk. We accept no responsibility for loss, theft, or damage to vehicles or their contents.

5. Payment

The total cost of your booking, including any deposits, extras, and additional charges, will be confirmed before payment is due.

Payment may be made by card or bank transfer.

A non-refundable deposit equal to 30% of the total booking cost is required to confirm any booking made more than 42 days prior to the arrival date. The outstanding balance, together with the security deposit, is payable no later than 42 days before check-in.

Bookings made within 42 days of the arrival date must be paid in full, including the security deposit, at the time of booking. 

Guests will not be permitted access to the Property until all payments due have been received in full.

If payment is overdue, we reserve the right to cancel the booking and/or apply reasonable administration charges.

6. Security Deposit

The security deposit amount and due date (usually 42 days prior to stay) will be confirmed at the time of booking.

The deposit will be refunded after departure, subject to:

  • No damage being caused to the Property or its contents;
  • No excessive cleaning being required;
  • No items being missing;
  • Compliance with these Terms and Conditions.

Where deductions are necessary, guests will be provided with details of the charges.

7. Chargebacks and Payment Disputes

By making a booking, guests agree that any claims for damage, excessive cleaning, missing items, breach of these Terms and Conditions, or other legitimate charges may be deducted from the security deposit or invoiced separately where applicable.

Guests agree to contact us directly in the first instance to resolve any dispute regarding charges.

Where a chargeback, payment reversal, or card dispute is raised without first attempting to resolve the matter with us, we reserve the right to provide booking records, correspondence, photographs, invoices, and these Terms and Conditions to the payment provider as evidence.

Guests remain liable for any valid charges arising from their booking, regardless of any chargeback or payment dispute initiated with their bank or card provider.

We also reserve the right to recover any costs incurred in defending unjustified chargebacks or payment disputes.

 

8. Cancelling Your Booking

All cancellations must be submitted in writing.

A cancellation is only effective once acknowledged and confirmed by us.

Travel insurance is strongly recommended.

Failure to arrive or late cancellation will be treated as a cancellation and charges may apply.

We strongly recommend that all guests obtain comprehensive travel insurance, including cover for cancellation, curtailment, illness, accidents, adverse weather, and loss of personal belongings. We cannot provide refunds outside of our stated cancellation policy.

9. Refund Policy

A non-refundable deposit equal to 30% of the total booking cost is required to confirm any booking made more than 42 days prior to the arrival date.

Guests may receive a full refund where:

  • Cancellation occurs within 48 hours of booking; and
  • The cancellation is made at least 42 days before check-in.

Outside of this period, refunds will only be considered if:

  • The Property is successfully rebooked; or
  • The Owner withdraws the Property from service.

Travel insurance is strongly recommended.

10. Cancellation by the Owner

Should the Owner cancel a booking for any reason, including sale of the Property or circumstances preventing accommodation from being provided, guests will be notified as soon as possible.

We are not responsible for costs incurred by guests relating to travel, transport, activities, or other arrangements.

11. Wi-Fi and Internet Access

Wi-Fi is provided as a complimentary service.

Due to our rural location and weather conditions, we cannot guarantee uninterrupted or error-free internet access at all times.

Whilst we will make reasonable efforts to assist with reported issues, we cannot be held liable for interruptions, reduced performance, or loss of service.

12. Noise and Guest Conduct

We want all guests to enjoy a peaceful and relaxing stay.

Guests must be considerate of neighbouring properties and other visitors at all times.

The following are not permitted:

  • Excessive noise;
  • Loud music;
  • Parties or events;
  • Shouting, screaming, or disruptive behaviour, particularly during unsociable hours.

Should excessive noise continue after two warnings have been issued, we reserve the right to terminate the booking and require the entire party to leave immediately.

No refund will be given in these circumstances.

13. Events, Commercial Photography and Filming

The Property may not be used for:

  • Parties or events;
  • Commercial photography;
  • Professional filming;
  • Business activities;
  • Any commercial purpose without prior written consent.

Any breach may result in immediate termination of the booking without refund and additional charges where applicable.

14. Smoking, Vaping and E-Cigarettes

Smoking, vaping, and the use of e-cigarettes are strictly prohibited inside the lodge and on the decking areas.

Additional cleaning costs, damage charges, or termination of the booking without refund may result from any breach of this policy.

15. Candles, Fireworks and Chinese Lanterns

For safety and insurance reasons:

  • Candles must not be lit anywhere within the Property.
  • Fireworks, sparklers, and Chinese lanterns are strictly prohibited throughout the entire site.

Any breach may result in immediate termination of the booking without refund.

16. Barbecue Rules

A charcoal barbecue is provided for guest use.

The following conditions apply:

  • Gas barbecues are not permitted.
  • The barbecue must not be moved from its designated location.
  • Guests are responsible for any damage resulting from moving the barbecue.
  • The silicone cooking mat provided must be used when cooking all food.
  • If the cooking mat is not used and the grill is left excessively dirty, a £20 cleaning charge will apply.
  • Only the designated barbecue utensils should be used.
  • Disposable barbecues may only be placed on the cold barbecue grill and are not permitted elsewhere on the Property.
  • Bags of charcoal may be purchased separately upon request.

Guests use the barbecue entirely at their own risk.

17. Electric Vehicles and E-Bikes

Electric Vehicle Charging

Electric vehicles must not be charged using the lodge’s standard electrical sockets.

If a guest is found charging an electric vehicle via the Property’s electrical supply, they will be instructed to stop immediately.

Continued charging may invalidate insurance and result in immediate termination of the booking without refund.

Any excessive use of electricity used related to the charging of a vehicle will be deducted from your security deposit.

E-Bikes and Similar Devices

For insurance and fire safety reasons, charging e-bikes, scooters, batteries, or similar equipment inside the lodge is prohibited.

Failure to comply may result in immediate termination of the booking without refund.

18. Septic Tank System

The Property operates using a septic tank system.

To avoid blockages and costly repairs, guests must observe the “3Ps” rule:

  • Pee
  • Poo
  • Paper

No wipes, sanitary products, nappies, cotton buds, food waste, grease, fats, oils, chemicals, paints, or other unsuitable items may be flushed or disposed of via sinks or drains.

Guests will be charged for any additional servicing, repairs, or emptying costs resulting from misuse.

19. Damage, Breakages and Additional Cleaning

Guests must promptly report any damage or breakages during their stay.

Guest safety is our priority. Damage to furniture, fixtures, appliances, or safety equipment must never be concealed.

We understand that accidents happen and generally do not charge for reasonable wear and tear or minor breakages such as a glass or item of crockery.

However, we reserve the right to recover the full cost of:

  • Significant damage;
  • Replacement of damaged items;
  • Specialist cleaning;
  • Additional labour costs;
  • Loss of income caused by the Property being unavailable for future bookings.

20. Pet Policy

Under no circumstances do we allow any other animal/pet, other than dogs at the property.

Dogs are welcome at Longhouse Lodge subject to the following conditions:

  • Guests must notify us at the time of booking if bringing a dog.
  • Dogs are currently accepted free of charge.
  • Maximum occupancy is one large dog or two small/medium dogs unless otherwise agreed.
  • Dogs are not permitted in bedrooms or on furniture.
  • Dogs must not be left unattended inside the Property unless secured in a suitable crate.
  • A crate may be provided upon request.
  • Guests must clean up after their dogs at all times.
  • Dog waste bags are available if required.
  • Additional cleaning charges may be applied where necessary.
  • Guests should bring their own blankets, dog beds or towels if required.

We reserve the right to charge for damage, excessive cleaning, or waste not collected.

Should any other animal/pet reside at the property during your stay, we reserve the right to terminate the booking without refund.

21. Outdoor Furniture, Cushions and Garden Equipment

Outdoor cushions must not be left outside overnight or during poor weather conditions.

Any garden games, toys, or equipment used during your stay must be returned to the designated storage area before departure.

Additional charges may apply for damage, loss, or replacement.

22. Guest Safety

Guests are responsible for supervising children, vulnerable persons and dogs at all times.

Guests must familiarise themselves with emergency exits, fire safety information, and any safety instructions provided within the Property.

Any accident, injury, or safety concern should be reported immediately.

23. Right of Entry

We reserve the right to enter the Property at reasonable times for maintenance, inspection, emergency repairs, safety concerns, or where a breach of these Terms and Conditions is suspected.

Except in emergencies, reasonable notice will be given wherever possible.

24. Lost Property

Any items left behind after departure may be retained for a reasonable period.

Where requested, items may be returned at the guest’s expense.

We accept no liability for lost or forgotten belongings.

25. Liability

Nothing in these Terms excludes or limits liability for death or personal injury arising from negligence.

Subject to applicable law:

  • Guests are responsible for their own belongings.
  • We accept no responsibility for loss, theft, or damage to personal possessions.
  • We are not liable for circumstances beyond our reasonable control, including severe weather, utility failures, internet outages, road closures, acts of government, or other force majeure events.
  • The Property Owner remains responsible for the condition and maintenance of the Property itself.

Guests use the Property, its grounds, parking areas, and any facilities provided entirely at their own risk. Children must be supervised by a responsible adult at all times.

26. Use of Personal Information

Personal information is processed in accordance with our Privacy Policy and applicable data protection legislation.

Marketing communications will only be sent where consent has been provided.

27. EU & International Guests

To comply with the Immigration (Hotel Records) Order 1972 we need to collect the following information from guests on their arrival:

  • Full name;
  • Nationality.

For all guests who are not British, Irish, or nationals of Commonwealth nations:

Passport number and place of issue (or other document which shows their identity and nationality;
Details of their next destination (including the address, if known) on or before departure.

28. Breach of Terms and Conditions

Failure to comply with these Terms and Conditions may result in:

  • Additional charges;
  • Loss of security deposit;
  • Immediate termination of the booking;
  • Removal from the Property without refund.

29. General Terms

The Property Owner reserves the right to enforce these Terms and Conditions directly.

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes arising from or connected with a booking shall be subject to the exclusive jurisdiction of the courts of England and Wales.
